When to follow up

The question everyone asks: how long should you wait before following up?

Too soon, and you come across as impatient. Too late, and the position is filled. The right timing depends on how you applied.

Applied through a job board (Indeed, WTTJ, APEC): wait 7 to 10 business days. Recruiters receive dozens of resumes and often process them in batches.

Unsolicited application: wait 5 to 7 days. The recruiter wasn't necessarily planning to hire, so the turnaround is less predictable.

After an interview: 5 business days at most. If they gave you a timeline ("we'll get back to you by Friday"), wait that long plus 2 days.

Striking the right tone

A follow-up isn't a complaint. It's a polite reminder that you exist and are still interested.

No reproaches ("I still haven't heard back"). No pressure ("I have other offers in progress"). No stock phrases ("I'm reaching out to circle back").

Be direct, brief and human.

What not to do

Following up more than twice. One follow-up is normal. Two is persistent. Three is pushy. After 2 follow-ups with no reply, move on.

Calling unannounced. Unless the posting lists a contact number, stick to email. An unsolicited call puts the recruiter in an awkward spot.

Sending a LinkedIn message AND an email on the same day. Pick one channel. If email doesn't work after 5 days, try LinkedIn. Not both at once.

Automate your follow-ups

The CVpass application tracker alerts you automatically when an application hasn't gotten a reply after 7 days. You can generate a personalized follow-up email in one click with the AI coach.

No more tracking dates in a spreadsheet. No more forgotten applications.
